The Meetings Consultant has responsibility and accountability for the coordination, planning and execution of specific meetings and events, exceeding the needs/expectations of our business partners.

Coordination and oversight of all project components and deliverables (sourcing, contract negotiations, budgets, production, registration, meeting specifications, attendee management, financial reconciliation, etc.) while managing subcontractors and vendor staff.

Operate in a consultative and strategic role with customers, clients and vendors in the execution of meetings and events.

Requires expert knowledge of successful meeting/conference planning techniques, methodologies and technologies, using independent judgment and discretion in the planning and implementation of both internal and client-facing programs.

Must have a keen sense of corporate culture with the ability to effectively communicate and interact with all levels of management and conduct themselves in a highly professional manner.

Skills & Responsibilities:

Organize, coordinate and execute all requests for various meeting activities for the organization and provide consultative assistance as required.

Manage meetings with minimal supervision.

Perform tasks including, RFP process, budget creation/management, site selection, travel coordination, vendor negotiations, meeting specifications, production and program and website development.

May be required to occasionally manage programs on-site; serving as the primary vendor and logistics manager.

Directs and supervises support staff to perform activities as required for successful project completion.

Ensure program procedures and activities are effectively developed, communicated to clients for approval, and executed within the required timeframe.

Review and audit related billing and finances for accuracy, reconcile payments to vendors, and track and report expenses to clients. Ensures timely program delivery within budget.

Maintain accurate records, systems input, and complete file management as outlined in department policies and procedures. Ensures appropriate file inclusions of negotiated savings, cost-to-value pricing, and appropriate vendor selection for audit and corporate compliance.

Communicate policies to ensure compliance.

Assist management on special project assignments in support of department, division and enterprise initiatives and all other duties as assignment by the manager.

Work with Sales Enablement, Creative Services, Corporate Communications and other business units as necessary to create effective program deliverables.

Develop, communicate, and manage program budgets to assure best use and application of allocated budgets.

Minimum of 5 years’ experience in all facets of corporate event planning

Knowledge and understanding of events industry and virtual event platform best practices and trends, destinations/hotel operations, online registration systems, budget management.

Health care industry experience a plus

Team player with proven ability to develop strong working relationships within a matrix organization

Ability to travel, including occasional nights and weekends (less than 10 percent)

Strong written and interpersonal communications skills.

Focus on clients’ needs and consistent rising of the bar on service excellence.

Must be flexible and able to prioritize projects in a fast-paced environment to meet deadlines.

Exceptional ability to build credibility and positive relationships across all work groups.

Ability to manage ambiguity

Education: Bachelor’s Degree or Commensurate Experience

Location: This is a fully remote role open to candidates across the US

Hourly Pay Rate Range (dependent on location, experience, expectation)

The pay range that Magnit reasonably expects to pay for this position is: $31.00-$42.00/hr
